About the role

The Executive PA will provide quality, proactive, high level support; delivering a professional service to the Divisional CEO ensuring the effective and economic use of the C-Suite Directors time, and supporting them to deliver an excellent, high quality service to the business and our clients. 

.

  • Providing a central point of contact for the Insurance Services Exec for admin/PA support as required and co-ordinating other PA's for the Exec members as needed.
  • Taking a lead in conjunction with the Ops Director on co-ordinating weekly/monthly Execs as needed plus any strategy away days.
  • Proactively working on the agenda for the Execs.
  • Taking actions at the monthly Divisional Exec meetings which can be circulated post meeting to take forward.
  • Assisting the Ops Director with the Insurance monthly manager cascade /liaising with people across the Division as needed.
  • Formulate/cascade on behalf of the CEO/Ops Director emails on aged debt / financial hygiene. Follow up designated actions from meetings to ensure completion ahead of next meeting.
  • Document Production:  Drafting correspondence and documents as required using a variety of software.
  • Processing expenses claims on behalf of the CEO and approving expenses claims on their behalf of the CEO as necessary.
  • General Administration including inbox management, holiday approvals for the direct reports of the CEO
  • Travel management:  Ensuring that travel is booked in the most cost effective way, liaising with managers, showing options and booking travel accordingly.  Approving travel as required on behalf of the CEO for their direct reports.
  • Working on own initiative and having the confidence to deal with people at all levels within the business and make quick decisions.
  • Managing highly complex and fast pace diaries, making quick decisions on behalf of the Divisional CEO.  Scheduling appointments with key stakeholders.
  • Confidently making decisions on behalf of the C-Suite Director in terms of diary management and travel arrangements.
  • Liaising and building relationships with clients and key stakeholders (both internally and externally), proactively responding to enquiries, emails and telephone messages and delegating on behalf of the C-Suite Director on his/her behalf.

About you

Ideally we're looking for someone with the following

 

  • At least 5 years’+ experience within a similar environment and role.
  • Maintaining the highest level of confidentiality at all times.
  • Excellent verbal and oral communication skills with the ability to communicate at all levels and manage stakeholders effectively.
  • Very experienced with intermediate/advanced knowledge of Microsoft Office applications particularly Word, Excel, PowerPoint and Outlook.
  • Highly organised with excellent administrative skills.
  • Has extensive experience of organising and facilitating large scale administrative projects on a regular basis such as coordinating, drafting and ensuring that board reports and executive board report are submitted on time.
  • Able to take and produce high quality meeting notes and actions.
  • Excellent interpersonal skills.
  • Demonstrates attention to detail and shows concern for accuracy and quality of work produced.
  • A motivated, self-starter with the ability to work on own initiative and ability to manage and prioritise own workload.
  • Ability to work in a fast paced environment and work to multiple tight deadlines.
  • Hardworking, flexible and adaptable in their approach.
